ADMINISTRATIVE ASSISTANT – GRANGEMOUTH

We are looking for an experienced Administrative Assistant to join our successful and expanding business. You will be reporting direct to the office administrator as well as the current management team and responsibilities will include the following:

– Provide administrative support to the accounts team, including but not limited to filing, data entry, and document management.

– Take responsibility for organising and prioritising tasks efficiently to meet deadlines.

– Show initiative in understanding the purpose and importance of assigned tasks.

– Assist with reception duties when required, including answering phone calls, greeting clients, and managing appointments.

– Manage administrative tasks associated with onboarding clients, such as preparing welcome packages and updating client records on our database.

– Perform monthly tasks including filing accounts, sending reminders, and other administrative duties as assigned.

Requirements:

– Excellent organisational skills and attention to detail.

– Ability to take responsibility and initiative in completing tasks independently.

– Strong communication skills, both verbal and written.

– Proficiency in Microsoft Office (Word, Excel, Outlook).

– Previous experience in an administrative role is preferred but not required.

– Keen interest in learning and understanding the tasks assigned, even if not directly related to accounting concepts.

The successful candidate will need to be customer focused, proactive and participate within a team in delivering a professional administrative service. You will need to be highly organised and able to get things done in a demanding environment. You should also be computer literate and able to use basic systems such as Microsoft outlook, excel, word etc. Consideration will be given to school leavers keen to develop a career within a professional office environment.

To be considered for the role you must have a positive attitude and be a confident and effective communicator who is hard working and dedicated. You must have strong communication skills and have an ability to work using your own initiative and to strict deadlines. This exciting opening is in response to the growth of our current team.
